CRM vs ERP: what's the difference, and why do many companies need both?

A CRM mainly manages the commercial relationship with prospects and customers, while an ERP coordinates operational processes and resources such as finance, inventory, procurement or production. For many companies, the problem is not choosing one of them but the data flow between the two.

What a CRM does

A CRM organizes leads, contacts, companies, opportunities, activities, communication and the pipeline. Its purpose is to give the sales team a coherent view of the customer relationship.

What an ERP does

An ERP integrates the company's core processes and can connect finance, procurement, inventory, production and other functions into a shared source of data.

Where the break appears

Sales may work in the CRM and operations in the ERP. If the systems don't communicate, a won deal is re-entered manually as an order, customer data is duplicated and delivery status never makes it back to the sales team.

What should be synchronized

Customers and identification data, products, prices, stock, won opportunities, orders, invoices, statuses and credit limits are common examples. The right list depends on the process.

Integration doesn't mean copying all the data

You need to establish which system is the source of truth for each type of information. If both applications can change the same field without rules, synchronization can create conflicts.

When a single system can be better

If the organization is small and an integrated product covers the processes well, a single platform can reduce complexity. If mature, specialized systems already exist, integrating them can be more efficient than a full migration.

Frequently asked questions

Can a CRM replace an ERP?

Some platforms have overlapping functions, but the roles are different. The decision should be made on the real processes.

Can an ERP include a CRM?

Yes, some suites include CRM modules. Their sufficiency for the sales process has to be assessed.

Which system should be implemented first?

It depends on the priority problem and the existing systems. A process map clarifies the order.
