Privacy policy

Last updated: September 7, 2026

This policy explains what data we collect through this website, how we use it and what rights you have in relation to it, in accordance with Regulation (EU) 2016/679 (GDPR).

1. Who we are

BitForm ("we", "BitForm"), with its registered office in Timișoara, Romania, is the data controller for the information collected through this website.

You can contact us at any time about your personal data at office@bitform.ro.

2. What data we collect

Simply browsing the site does not collect data that directly identifies you. If you give your consent in the cookie banner, we use Google Analytics for aggregated traffic statistics — details in section 3 below.

Your choice in the cookie banner ("Accept" / "Reject") is stored locally in your browser (localStorage), only so that we don't show you the banner on every visit. It is not sent to us and is not associated with your identity.

We collect personal data that you give us directly when you fill in the contact form (the fields below) or when you subscribe to the newsletter (email address only — details in section 4):

  • Name (required)
  • Company (optional)
  • Email address (required)
  • Phone (optional)
  • The type of project you are writing to us about
  • The content of your message

3. Cookies and Google Analytics

The site does not set any analytics or marketing cookie by default. The cookie banner appears on your first visit, and no analytics script loads before you click "Accept".

If you accept, we load Google Analytics 4 (a service provided by Google Ireland Limited), which shows us aggregated statistics: number of visitors, pages visited, traffic source, device type and approximate country. We do not use this data to identify you personally and do not combine it with the data from the contact form.

For this purpose, Google Analytics sets cookies in your browser (including _ga and _ga_<identifier>), with a lifetime of up to 24 months. Google uses the IP address only to estimate approximate location, and we do not store it.

The legal basis for this processing is your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time by using the "Cookie settings" link in the site footer and clicking "Reject" — we will stop Google Analytics and delete the related cookies.

Google may transfer data to servers outside the European Economic Area; these transfers rely on the European Commission's Standard Contractual Clauses and the EU–US Data Privacy Framework. Details on how Google processes data: policies.google.com/privacy.

4. Newsletter

If you subscribe to the newsletter, we collect only your email address. We use a double opt-in system: after you submit the form, you receive an email with a confirmation link, and the address is added to the list only after you click that link.

The newsletter is sent and managed through Brevo (a service provided by Sendinblue SAS, France), which acts as our processor and stores the address on servers in the European Union. We do not pass the address to any other third party and do not use it for any purpose other than sending the newsletter.

The legal basis is your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time, either by clicking the unsubscribe link in every email or by writing to us at office@bitform.ro. After you unsubscribe, the address is removed from the list.

The subscription form includes a hidden field ("honeypot") and a form-completion time check, used exclusively to detect automated submissions (spam/bots).

5. How we use your data

Data sent through the contact form is used exclusively to respond to your request — we do not sell it, rent it or use it for marketing purposes toward third parties.

The form sends this data in a single email to office@bitform.ro; it is not saved in a database on the server.

The form also includes a hidden field ("honeypot") and a form-completion time check, used exclusively to detect automated submissions (spam/bots) — these do not collect any additional data about you.

6. How long we keep your data

Messages arrive directly in our email inbox and are kept for as long as necessary to respond to your request and, afterwards, in line with our correspondence archiving policy.

7. Hosting and security

The website is hosted on a shared hosting server; data sent through the contact form travels encrypted (HTTPS to the server, then SMTP with STARTTLS/SSL encryption to the email server). Files containing server credentials are not publicly accessible.

8. Your rights

Under the GDPR, you have the right of access, rectification, erasure, restriction of processing, objection and data portability. To exercise any of these rights, write to us at office@bitform.ro.

You also have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP), www.dataprotection.ro, if you believe that the processing of your data breaches the law.

9. Changes to this policy

We may update this policy when necessary and when we consider data-protection aspects important. The date of the last update is shown at the top of the page.
